Job Title: Purchasing Assistant
Job Summary: Manage an efficient warehouse system and distribution of goods, assist in purchasing activities, maintain updated records, verify and submit invoices, coordinate with suppliers and the project team.
QUALIFICATIONS:
• Graduate of any 4-years Business course.
• 1-2 years of Purchasing/Inventory experience.
• In-depth knowledge of purchasing functions, inventory and supply management systems.
• Excellent communication, negotiation and interpersonal skills.
• Ability to work with minimal supervision.
• Strong organizational skills, a good understanding of sourcing and the ability to maintain
vendor relationships.
• Direct experience with spreadsheet computer applications.
• Ability to use purchasing software.
• Willing to travel within Metro Manila and outside Metro Manila as needed. (Travel expenses
will be shouldered by company)
• Willing to work onsite and willing to be assigned in Ortigas.
RESPONSIBILITIES / JOB DESCRIPTION:
• Establish a proper system for the main warehouse.
• Responsible for inventory management in the warehouse.
• Will need to manage and monitor physical arrangements of the goods in the warehouse from
time to time.
• Responsible for the accurate monitoring and recording of the receiving, retrieval, and
distribution of goods in the warehouse, in a timely manner.HLA PHILIPPINES 2024
• Assist in all purchasing activities and tasks.
• Maintain complete updated purchasing records/data and pricing in the system.
• Physical stock verification, and preparation of monthly stock statements/reports as per timeline.
• Responsible for checking and verifying supplier invoices/delivery orders invoices.
• Ensure timely submission of all invoices and delivery orders to Finance Department.
• Create and maintain a detailed inventory list of all incoming, outgoing, and current supplies.
• Sourcing materials, goods, products, and services, and negotiating the best or most cost-
effective contracts and deals.
• Coordinating with the project team and following up on delays or orders that have been
rescheduled.
• Expedite and follow up with suppliers for on-time delivery to support operations.
• Proper filing for both purchasing and warehouse documents and reports.
• Assist Store equipment setups or installations as needed.
• Any other duties assigned by the Management as and when deemed necessary.
